Key Responsibilities:
As the Service Office Assistant, you’ll play a central role in the day-to-day operations, ensuring customers feel valued and supported. Key duties include:
- Order Processing: Take orders and enter them accurately into the computer system.
- Customer Interaction: Answer customer questions via phone or email, direct queries appropriately, and provide a friendly, efficient service.
- Clerical & Reception Duties: Answer calls, mail correspondence, process orders and invoices, and manage filing.
- Document Management: Produce correspondence, quotes, sales support forms, and bespoke order forms as needed, ensuring all documents are accurate.
- Record-Keeping: Maintain accurate records, conduct product/customer research, and compile data as needed.
- Client and Visitor Support: Manage visitors, handle refreshments, and ensure a warm, professional welcome.
Skills and Qualifications:
To succeed in this role, you’ll need:
- Customer Care Skills: A friendly and professional manner with a commitment to excellent service.
- Confident Communication: Strong telephone and written communication skills.
- IT Proficiency: Familiarity with Microsoft Office Suite; in particular intermediate Excel.
- Attention to Detail: Ensuring accuracy in all tasks, especially data entry.
- Organisational Skills: The ability to prioritise efficiently and keep things running smoothly.
- Team Player with Initiative: Able to work both independently and collaboratively with a motivated, proactive approach.
