The Role
The Operations Manager will take ownership of operational infrastructure across the organisation, ensuring that processes are effective, compliant, and scalable. This is a hands-on leadership position suited to someone who thrives in a fast-paced, growing environment and enjoys bringing structure, accountability, and clarity to business operations.
Key Responsibilities
Finance & Commercial Operations
- Monitor and report on day-to-day cash flow
- Oversee bank payments and payment setup
- Maintain and review job-level profit and loss reports
- Conduct system reconciliations to ensure invoice accuracy
- Check, raise, and chase invoices
- Produce sales forecasts based on forward bookings
- Manage annual renewals including insurances and accreditations
- Support accurate financial reporting and maintain system controls
Systems & Software Management
- Manage user access and permissions across operational and accounting systems
- Set up and maintain pricing templates and documentation
- Ensure data integrity between job management and accounting platforms
HR & People Operations
- Oversee onboarding and induction processes
- Maintain employee records and HR systems
- Conduct and record compliance checks (right to work, ID verification)
- Log sickness, absence, and HR exceptions
- Manage contracts and HR documentation
- Support and improve internal training systems
Payroll Support
- Log payroll exceptions and liaise with external payroll providers
- Set up payroll-related payments within banking systems
Stock & Supply Chain
- Order stock and consumables
- Evaluate pricing and bulk purchasing opportunities
- Receive, check, and manage stock control processes
Client & Partner Management
- Manage invoicing and supporting documentation requirements
- Attend and contribute to weekly operational meetings
Tenders & Compliance
- Maintain tender tracking systems
- Support tender writing, pricing, and submissions
- Maintain ISO documentation and compliance records
- Manage document control logs
- Facilitate internal and external audits
Candidate Profile
Essential
- Strong operational management experience
- Financial and commercial awareness, including invoicing and cash flow oversight
- Experience using job management and accounting systems (e.g., simPRO, Xero, or similar)
- Excellent organisational and administrative skills
- Ability to manage multiple priorities and stakeholders effectively
- Strong attention to detail with a continuous improvement mindset
Desirable
- Knowledge of ISO standards and audit processes
- Experience supporting tenders and compliance frameworks
